The customer-supplied part is a real workshop problem

More customers turn up with parts they bought themselves, and the shop is left holding the risk. If it does not fit, the morning is gone, the ramp is tied up, and the awkward conversation about whose fault it is starts anyway. Whether you fit customer parts at all is a policy question. What to do when you agree to is a process question, and the process is what saves you.

That process is a two-minute check against the official catalog, done before the spanners come out.

Verify by VIN, not by the box

The box will carry a number and probably a list of “fits” models. That listing is exactly the generalised, third-party application data that causes wrong-part orders in the first place. Trusting it is trusting the source you would never trust for your own ordering.

Instead, resolve the customer’s VIN in the official EPC, find the correct genuine number for that exact build, and compare. Does the supplied part reference the right OEM number, or a superseded one, or simply a compatible-looking cousin? Two minutes here tells you whether the job will go smoothly or end in a refit.

What to actually check

A quick, repeatable comparison catches almost everything before it becomes a problem:

  • OEM number match — does the supplied part carry, or cross to, the number the catalog gives for this VIN?
  • Supersession — is it an old number the factory has since replaced?
  • Variant split — did the customer’s car take the “with option X” version they didn’t buy?
  • Completeness — does it include the seals, brackets or sensors the genuine assembly has?
  • Left/right, front/rear and quantity — the simple mismatches that still book a wasted slot.

Documenting it protects everyone

When the check shows a mismatch, you have caught it at the counter, not on the ramp — and you can tell the customer precisely why, with the catalog on screen. That is a far better conversation than one held with the car in pieces. Most customers accept “this isn’t the right part for your car” much more readily when you can show the exact number their VIN calls for.

When the check passes, note that you verified it. If a supplied part later fails, the record that you confirmed the correct number, and that the fault was the part and not the fit, is worth having.
